Building a Plant Maintenance Schedule That Actually Gets Followed

A plant maintenance schedule has a short life expectancy. Most are built in the office in January, printed, laminated — and quietly abandoned by March, because the schedule and the site never talk to each other.

The fix is not more discipline; it is a schedule built around how plant is actually used. This article covers what the law expects, how to build intervals that reflect reality, why schedules get ignored, and the follow-through loop that keeps one alive.

What the Law Expects Before You Build One

The Provision and Use of Work Equipment Regulations 1998 (PUWER) set the baseline: work equipment must be ‘maintained in an efficient state, in efficient working order and in good repair’, and where machinery has a maintenance log, it must be kept up to date.

  4. Name an owner for every task. ‘Workshop’ is not an owner; a person is.
  5. Keep it where the work happens. A schedule that lives in a spreadsheet on a desktop in the office is invisible to the fitter in the yard.

  • The schedule cannot hear the machines. Defects found on daily checks never reach the plan, so the plan drifts from the fleet’s real condition.
  • Overdue is invisible. On paper, a missed service looks identical to a completed one — a blank row.
  • Breakdowns jump the queue. Reactive work eats the hours that planned work was promised, and nobody re-plans; they just fall behind.
